ATS essentials
How Applicant Tracking Systems Actually Work
Learn what an ATS does, what happens after you apply, and how to make your resume easier for hiring teams to find and review.
Start here
- Use familiar section headings.
- Submit readable, selectable text.
- Match relevant employer language truthfully.
An ATS is a workflow system, not one universal robot
An applicant tracking system helps employers publish jobs, collect applications, manage candidate records, communicate, schedule, and report on hiring. Capabilities and configurations vary widely. Some systems parse resumes into fields, support recruiter searches or filters, and connect to assessment or matching tools. Others mainly organize the process.
There is no single pass-or-fail algorithm shared by all employers. A recruiter, hiring manager, configured rule, screening question, assessment, or combination of these may influence what happens next.
What can happen after you submit
- 1
Application captured
Your answers and documents become a candidate record tied to the opening.
- 2
Resume parsed
The system may extract contact details, employers, titles, dates, education, and skills into structured fields.
- 3
Requirements checked
Knockout questions or recruiter filters may identify work authorization, location, credentials, or other job-specific needs.
- 4
Candidates reviewed
Recruiters search, sort, tag, and read profiles according to the employer’s process.
- 5
Process updated
Stages, notes, interviews, decisions, and communications are recorded over time.
Separate parsing from evaluation
Parsing is the extraction of information from your document. A parsing error can put a title, date, or skill in the wrong field. Evaluation is the human or configured process used to judge fit. A perfectly parsed resume can still be a weak match; a strong candidate can still be hurt by unclear structure.
The practical goal
Make accurate information easy to extract, easy to find, and easy for a person to understand. Do not try to “beat” software with tricks.
Optimize for both software and people
- Use standard labels such as Experience, Education, and Skills
- Keep important text out of images, charts, and decorative text boxes
- Use a straightforward reading order and consistent dates
- Include relevant role language in genuine context
- Answer screening questions carefully and honestly
- Follow the requested file type and application instructions
Avoid common ATS myths
Keyword frequency alone does not guarantee an interview. White text, copied job descriptions, and hidden keyword blocks create poor documents and can undermine trust. No honest tool can promise one universal “ATS score” because employers use different systems, data, configurations, and hiring processes.
Final checklist
- Contact details appear in the main document body
- Sections and dates follow a clear reading order
- Relevant terminology is accurate and supported
- No hidden text or pasted job-description blocks
- Application questions and file requirements were reviewed

Frequently asked questions
Does an ATS automatically reject every resume without enough keywords?
Not universally. Employers configure systems and workflows differently. Screening questions, recruiter searches, filters, assessments, and human review can all play a role.
Can an ATS read a PDF?
Many can read text-based PDFs, but capabilities vary. Follow the posting’s requested format and verify that your exported text is selectable and ordered correctly.
Do I need to use an ATS template?
No special template is required. A clear, text-based, single-column resume with familiar headings is a reliable starting point.
